Parent/Child/Satellite - Relationship & Configuration

Standalone:

A Standalone location is not in a Parent/Child nor Main/Satellite relationship setup. It is exactly how it sounds; all Revenue and all Payroll Expenses go directly to the single store. An employee Clocks-in and out from this location when working.

Parent/Child:

A Parent/Child configuration entails one or more stores on a single iPad device.

Parent: All Revenue and Payroll are accumulated at the Parent store level for all locations within this setup. Employees will clock-in and out on the Parent store.

Child: The only responsibility a child store has is to separate the billing on the PDA/Financials/Invoices to customer.

Main/Satellite

The Main/Satellite configuration is used when you have a high-volume customer requiring multiple iPads within close proximity to each other.

Main: The Main iPad has the same characteristics as a Parent. All Revenue and Payroll are accumulated at the Main store level for all locations within this setup. Employees will clock-in and out on the Main store.

Satellite: The Satellite iPad has similar characteristics as a Child. The Timeclock is disabled on the Satellite iPad.

Procedure for Main/Satellite Clock-In:

1. Employees clock in on the Main iPad and perform a sync.

2. Employees go to the Satellite iPad and perform a sync, effectively

clocking them in on both the Main & Satellite iPads.

3. Employees Clock-out for Meal Periods and End of Day

on the Main iPads Timeclock.

Auto Detail Mobile Application on iPad

These Messages could pop up on the iPad at any time, and contains the app name "AUTODETAIL". Always HIT "UPDATE". Always HIT "download". The program will log out to the desktop, and will update. Once you open AutoDetail it will be updated.

Work Code Budgets

This is a weekly budget. When a service budget is reached, an email will be sent to Store/Market management.
An administrator can override the budget if it is necessary. The evaluation step needs to take place at this point. The budget, and override will expire on Sunday and reset on Monday for the new week.

Regional Inspect by

When a Detail manager, or assistant manager clocks in "show all in the Region" they will appear on the "Inspected By" dropdown while clocked in. This could eliminate the need for the Inspect By employee on the satellite locations. However, if that manager clocks out they may not have anyone on the Service wash satellite to submit invoices. This will also eliminate moving managers from home store to home store for the purpose to have an Inspect by.

Incident Report

Immediately after any type of accident occurs, the Incident Report for all Accidents report must be completed. This easy, fillable form is available on the iPad and is a very brief summary of the incident. All accidents, however minor, but for which repairs need to be made by a body shop or other vendor, are to be reported.

NO EXCEPTIONS!

The incident will then be evaluated to determine if it merits submission to our insurance company. If insurance coverage is warranted the store manager, or area manager may be requested that they complete the Incident Report - Auto, or Incident Report - Non-Auto which are the forms we historically have used to initiate an insurance claim. These forms will then be sent to our Risk Manager for processing.

Printing Invoices on iPad

On the Main Menu, go to Print Invoices.
- Note; Only Invoices that contain Revenue will appear automatically.
Select Filter at the bottom to search by Dates.
Put in the To and From Date required.
Select the desired invoices by checking the radio button (circle) on the left hand side.
At the bottom you have choices of Print Invoice or Print Summary Report, select the one you need.
Print Invoice will appear on the Printer Options. Select your Brother Printer series being used at the store.
The Invoice will appear on the screen, select Print in the Right-hand corner.

Edit RO/PO for an Invoice on iPad

Go to Print Invoices.
Use Filter Option or search box at the top of the screen for desired Invoice.
Select Done in the top Right-hand corner.
Select the Invoice to change
Select Edit RO/PO at the Bottom of the screen
The Edit window will pop-up and fill in the RO/PO as needed.
Select Save.

Schedules

Use the Schedule column to set the Weekly Schedule.
When you select a schedule, it will automatically calculate the weekly hours.
Select and change any day of the week and the schedule will recalculate.
Select Save when scheduling is complete.
When an employee is terminated, the word Terminated will now shown on their schedule from the termination date. They will be removed next week.
When an employee is hired, their name will immediately appear on the schedule.

Reviews

Time-Clock review was created so that the store manager can review and approve all employees time from the previous day on a single screen.

Note: This action should be performed Daily on the iPad.

Select Review on the Main Menu.
Requires a Manager PIN to access.
Select Review in the Right-Top corner.
Select the Work Day.
Review the employees clock-in's and out's, change the white circle to green.
Proceed to the next day.
Never check-off today's date if it is not over yet!

Manage your employees and ensure everyone

clocks in and out at the end of the day.

Train, Teach and Follow-Up with all employees

to ensure they understand the Clock-In/Out procedure.
